When an online form is completed and submitted by your existing patients, a copy of the form is viewable from the CareCru platform, as well as automatically synced into your practice management software (PMS).
In order for a form to successfully sync into your PMS, the following scenarios are validated from the submitted form data against the data in your PMS:
If any of these scenario's do not match, the form will still be uploaded to the CareCru platform, but it will not be automatically downloaded into your PMS.
To view your forms in CareCru, click on the Forms quick-access button on the top right of the platform, which will also have an notification indicator for any forms which have not yet been actioned.
Alternatively, you can also navigate to Account Settings > Forms > Submissions.
The status of your form sync is indicated by the following:
🟢 Green = successfully synced to your PMS
🔴 Red = failed sync (patient not found/data could not be fully matched)
🟡 Yellow = sync pending, (sync issue - will attempt for 5 more days)

🟢 When the form successfully downloads to your PMS, as indicated by a green sync indicator, you can find the form in your PMS by going into the Miscellaneous section of the Imaging tab inside your patient file.

Failed Sync
🔴 When a form fails to automatically download into your patients file, as indicated with a red sync indicator, you have two options to proceed:

Update the patient information in your PMS to match the fields on the form (first name, last name, phone number). The sync will continue to attempt a download of the file into your PMS every 2 hours and up to 5 days from the date of submission.

Manually download the file onto your desktop and then upload it into your PMS.
🟡If you have a yellow sync indicator showing more than 5 days after the initial form submission, you will need to manually download the file onto your desktop and then upload it into your PMS as the sync issue was not resolved in time.
