How to Setup Donna's Reminder effectively?

This article walks you through our recommendation on how to setup appointment reminders

 

One of the challenges your practice likely faces is the number of missed appointments each week. Most of your patients don’t necessarily mean to miss their appointments, but a lot of times they simply forget about them. The most obvious solution is to send your patients reminders about their upcoming appointments. But are your reminder messages really effective?

With a combination of the right frequency, contact method, and timing of reminders, you can ensure that majority of your patients confirm appointments automatically, and that only a small number need manual intervention.

Here is our recommendation on how to set up your Appointment Reminders -

Days before appointment	Contact Method	Confirmable/ Friendly	Time to Send Reminder
21 Days	Email	Friendly	Default - Same time as scheduled appointment
7 Days	SMS & Email	Confirmable	Default - Same time as scheduled appointment
2 Business Day	SMS & Email	Confirmable	Custom - At a specific time
2 Business Day	Voice	Confirmable (only sent if appointment still not confirmed)	Custom - After 4 PM
2 hours	SMS	Friendly (or virtual Waiting room)	Default - 2 hours before scheduled appointment

Note - If an appointment is confirmed, Donna will follow the Path titled "Y" or else "N"
